This policy explains how Kapps Systems LLC handles information across our company website, professional services, software products, AI and large language model features, APIs, demos, and future platforms.

1. Services Covered

This policy applies to Kapps Systems LLC's public website, contact forms, business communications, consulting and engineering services, software platforms, mobile and web applications, APIs, AI-enabled tools, analytics features, and related support services. WhisperWise is one Kapps Systems product, but this policy is written for the company as a whole and for future products and services we may provide.

  • Account and profile information for products or client portals, if you create an account.

  • Health, child-related, accessibility, or other sensitive information only where a specific product, client agreement, consent flow, or legal basis requires that information.

3. How We Use Information

We use information to:

  • Provide, operate, secure, and improve our websites, products, services, and AI-enabled features.
  • Respond to inquiries, provide support, and manage client or partner relationships.
  • Develop software, troubleshoot issues, monitor reliability, and protect against abuse or unauthorized access.
  • Perform contracts, process business records, and meet legal, tax, accounting, and compliance obligations.
  • Evaluate product performance, user experience, and feature quality.

We do not use customer confidential information, protected health information, child data, or sensitive product data to train public AI models unless the relevant customer, user, or authorized representative has approved that use in writing.

4. AI and LLM Data

Some Kapps Systems products may include large language models, speech tools, machine learning models, analytics systems, or other AI features. Inputs and outputs may be processed by Kapps Systems infrastructure or by third-party model and infrastructure providers that support the feature.

We design AI workflows to use only the information reasonably needed for the feature, to preserve product security, and to respect product-specific privacy commitments. AI output may be incomplete, inaccurate, or inappropriate for some uses, so users should review output before relying on it.

5. How We Share Information

We may share information with:

  • Service providers that help us host, secure, analyze, support, email, process payments, or operate our services.
  • Authorized client administrators, collaborators, caregivers, clinicians, or end users where a product or agreement enables shared access.
  • Professional advisors, auditors, insurers, and legal representatives.
  • Government, regulatory, law enforcement, or safety authorities when required by law or necessary to protect rights, safety, and security.
  • A successor or buyer in connection with a merger, acquisition, financing, reorganization, or sale of assets.

We do not sell personal information or share it for cross-context behavioral advertising as those terms are commonly used under U.S. state privacy laws.

Some current or future Kapps Systems products may support healthcare, therapy, education, accessibility, child development, or family services. Those products may require additional safeguards, consent, contractual limits, or product-specific notices.

Where Kapps Systems handles protected health information, student information, child data, or other regulated information for a client or product, the applicable product terms, consent, business associate agreement, data processing agreement, or similar agreement will define the permitted uses and safeguards for that information.

The public Kapps Systems website is not directed to children under 13, and we do not knowingly collect personal information from children through the public company website.

7. Cookies and Analytics

We may use cookies, local storage, logs, and similar technologies to keep services working, remember preferences, measure site performance, understand usage, and improve security. If we add analytics, advertising, or tracking technologies that materially change this practice, we will update this policy or provide a product-specific notice.
